Privacy Policy.

How we handle the information you share when you use Burly Wolf and the AI Visibility Check.

1. About this policy

This policy explains how Burly Wolf collects, uses, stores and shares information when you use our website and the AI Visibility Check. Burly Wolf is operated by Jason Johnson trading as Burly Wolf, ABN 91 963 828 916, based on the Gold Coast, Australia. In this policy, “we” and “us” mean Burly Wolf.

We use the Australian Privacy Principles as a guide for how we handle personal information.

2. The information we collect

When you run the AI Visibility Check, you give us your name, email, business name, website, business category, location and, optionally, your main services or focus.

When we run the Check, we generate and store a result: your visibility status, a plain-English summary, the gaps and any competitors surfaced, and a copy of the Snapshot, together with a reference ID and a timestamp.

When you visit the website, our hosting provider automatically handles standard technical information such as your IP address, browser type and the pages you request. Web fonts are served by Google Fonts, which receives your IP address. We do not use analytics or advertising cookies.

3. How we use your information

We use your information to run the AI Visibility Check and produce your Snapshot, to store the result so we can provide it and, if you ask, carry out a Fix-First Review, to respond to you, and to operate, secure and improve the website and the Check.

We do not sell your information. Running the Check does not add you to any marketing list. If we offer a mailing list in future, joining it will be a separate, clearly labelled choice that is not ticked by default.

4. Who we share it with

We use trusted third-party services to run the Check and the website. Your information may be handled by:

  • Netlify, which provides our website hosting, serverless functions and form storage, and stores your submission and the result.
  • Railway, which hosts the AI Visibility Checker engine that generates the result. The engine receives only your business name, website, category and location.
  • Technology and AI service providers used to generate the result, which test how AI describes your business. They receive only your business name, website, category and location.
  • Google Fonts, which serves the website fonts and receives visitor IP addresses.
  • Google Workspace, which we use for email to receive and respond to your messages and form notifications.

Your name and email are not sent to the checker engine or the AI service providers. We share information with these providers only to deliver the Check and run the website, or where the law requires it. These providers handle your information under their own terms and privacy practices, which we do not control.

5. Overseas processing

Some of these providers are based in, or store information in, countries outside Australia, including the United States. This means your information may be processed or stored overseas.

6. How long we keep it

We normally retain the Check submission and result stored in our systems for 12 months. We may delete information earlier following a valid request. We may keep records longer if you become a client or there is a genuine legal or business reason to do so.

Hosting, infrastructure and AI service providers may retain technical records or submitted content under their own security, logging and retention practices, which we do not control.

7. Keeping your information secure

We take reasonable steps to protect your information through our hosting and form providers. No online service can be completely secure, and you submit information at your own risk.

8. Accessing, correcting or deleting your information

You can ask us to access or correct the information we hold about you, or to delete your submission. We handle these requests by email at privacy@burlywolf.com.au.

If you are not satisfied with how we handle your request, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.

9. Children

The Check is intended for business owners and operators. It is not directed at children, and we do not knowingly collect their information.

10. Please do not submit other people’s or sensitive information

Please enter only your own business information. Do not submit confidential information, sensitive personal information, or personal details about other people through the Check.

11. Changes to this policy

We may update this policy from time to time. The current version will always be on this page, with its last-updated date.
